Who we are:

The Active Schools service is part of the Leisure and Culture Dundee. Leisure and Culture Dundee is Scottish Charitable Incorporated Organisation Number SC042421. Dundee Leisure was integrated with Leisure & Culture Dundee from 1st August 2011. Why do we need your personal information and what do we do with it?

 

You are giving us your personal information to permit us :

 

To allow pupils to participate in daytrips, sports leadership awards, school sports clubs and activities.

To ensure health and safety of the pupil.

To manage and monitor interest in these activities.

 

We may also use your information to verify your identity where required, contact you by post, email or telephone and to maintain our records.

 

General data will be used to create reports on the effectiveness of the programme, however this will be statistical and non-identifiable data to ensure complete anonymity and security of participants.

 

Leisure and Culture Dundee will securely hold the data provided. All data provided by you will be processed, stored and destroyed in accordance with the General Data Protection Regulation (GDPR) and only for the duration of your involvement within the Active School's programme. Legal basis for using your information:

Consent: We require your consent to process this information. If you do not give consent, we will be unable to provide you with this service.

 

Article 9 (g) We also need to process more sensitive personal information about you for reasons of substantial public interest as set out in the Data Protection Act 2018. It is necessary for us to process it to carry out key functions as set out in law.

Who do we share your information with?

Your data will be shared with school Head Teachers and appropriate school staff, coaches and volunteers involved in organising, coaching and managing the activities to ensure the wellbeing of the pupil.

 

All information provided will only be used by Leisure and Culture Dundee and School Staff for the purposes of managing your involvement in the ​Active Schools programme. This includes using the information to contact you to communicate relevant information on the Active Schools Porgrammes.

 

Data sharing and data matching with external agencies will only be carried out under a written contract setting out the scope and limits of the data agreement. Any specific agreements will be listed on this page.

How long do we keep your information for?

We only keep your personal information for the minimum period amount of time necessary.

 

For sports and physical activity clubs your paper copy will be stored in school for the period of the term and destroyed securely. We will also hold this data electronically for the period of one year. For day trips, the paper copy will be kept in school for 1 year from the date of the trip then destroyed securely.

 

Your rights under data protection law:

  • access to your information – you have the right to request a copy of the personal information that we hold about you.

  • Data Portability - you can ask us for a copy of your information so that you can re-use it and we will provide it in a machine-readable format. This is a qualified right, which means it only applies in certain circumstances and only relates to information you have given directly to us.

  • correcting your information – we want to make sure that your personal information is accurate, complete and up to date. Therefore, you may ask us to correct any personal information about you that you believe does not meet these standards.

  • Deletion of your informationyou have the right to ask us to delete personal information about you where:

  1. you think that we no longer need to hold the information for the purposes for which it was originally obtained

If you have provided anyone else’s details on this form, please make sure that you have told them that you have given their information to Leisure and Culture Dundee. We aim to directly resolve all complaints about how we handle personal information.
